When changes are made to your form, you can replace the PDF template for that report type so that all new submitted reports will use the updated form, while still maintaining a record of all past submissions for that report template. Report templates can be archived so that new submissions are no longer accepted. You must have the "Manage Reports" permission in order to make changes to and/or archive a report template. These changes can only be made on the website.
Note: Project admins will have the report manager permission by default.
To update a single report template:
1. Click the clipboard "Field Reports" icon in the navigation bar to access Field Reports.
2. Click on "Templates" and select the check box of the report template that you want to modify.
3. Click 'Edit' to view and modify the settings and permissions on the report template.
4. In the Report Settings pane for a single report template, you can:
- Edit the report template name
- Edit / upload a new PDF template
- Customize additional report components (i.e. optional fields on your report)
- Add/remove users from report permissions
- Enable/disable draft visibility
- Update Contributor Collaboration method
- Enable/disable reminders
5. When you are done making changes, click "Save changes" to apply the updates.
To update multiple report templates:
1. Click the clipboard "Field Reports" icon in the navigation bar to access Field Reports.
2. Click "Templates" and select the check box of the report template(s) that you want to modify.
3. Click 'Edit' to modify the settings and permissions on the report templates.
4. In the Report Settings pane, when editing multiple report templates at once, you can:
- Customize additional report components (i.e. optional fields on your report)
- Add/remove users from report permissions
- Enable/disable reminders
Note: When editing multiple report templates, not all individuals or groups may be displayed under the each permission; only those settings or permissions that are shared by all report types selected will be displayed. When you save the changes, it will save any additions that you've made; it will not override any previous settings that are not currently displayed.
5. When you are done making changes, click "Save changes" to save the updates that you've made.
